CoA | PROCEDURE FOR RENEWAL OF REGISTRATION

An Architect in India is required to be registered with the Council of Architecture to be able to practice. The procedure for registration has been explained in detail in the post  CoA | Procedure for Registration. The Central Government directs that for the retention of a name in the register after the 31st day of December, renewal of registration must be done by 31st March of the year to which it relates OR the last working day in the month of March, whichever is earlier.

It is important to renew the registration with the Council of architecture before it expires. Failing to pay the renewal fee by the last date i.e 31st March, the Architect’s name will be removed from the Register and a restoration fee of Rs.1000/- shall be payable to get his name restored.

WHO IS ELIGIBLE FOR RENEWAL OF COA CERTIFICATE OF REGISTRATION?

In order to be entitled for registration and/or renewal of certificate of registration, a person/architect should reside or practice the profession of an architect in India.

WHAT IS THE PROCEDURE FOR RENEWAL OF REGISTRATION WITH THE CoA?

An application for renewal along with the prescribed annual fee of Rs 600/- and the CoA’s Registration Certificate, in original, should be handed personally at the office of the “Council of Architecture” (Payment Timings :10.00 am to 01.00 p.m. & 01.30p.m. to 03.30 p.m. on all working days Monday to Friday) either by you or by a person authorized by you.

Or you can send it by registered post to the “Registrar, Council of Architecture, India Habitat Centre, Core 6-A, First floor, Lodhi Road, New Delhi – 110 003” with an addressed return envelope, so that the CoA’ s office can send back the original CoA Registration certificate after endorsement.

WHAT IS THE PRESCRIBED FEE FOR RENEWAL?

Yearly Renewal: If you opt for yearly renewal, you must make a payment of Rs.600/- towards renewal fee for the current year to which it relates, at the latest by 31st March of the year OR  the last working day in the month of March, whichever is earlier. However, note that acceptance of Annual Renewal Fee in advance ( i.e. other than current year) shall not be accepted.

One time payment: If you opt for One Time Payment (which means you do not have to pay again for renewal in the future), you will have to make a one-time payment of Rs 6000/-. However, the following conditions hold good:

  • A one time payment is accepted only if you have been registered with the CoA for a minimum period of 2 years.
  • One-time payment of renewal fee will be accepted subject to submission of an attested copy of the Final B.Arch.Degree / G.D. Arch. Certificate (received after convocation).
  • One-time payment will not be accepted on the basis of provisional certificate.  In case, the registration was initially granted on the basis of Provision Certificate of Registration, the concerned architect is required to send a scanned copy of Final B.Arch. Degree / G.D. Arch. Certificate through email on renewal-coa@gov.in for updation in the official record of COA. 
WHAT IS THE MODE OF PAYMENT?

Offline: A Demand Draft drawn in favour of “Council of Architecture”, payable at Delhi/New Delhi or Cash/ Debit  Card/ Credit Card can be used if  you are paying personally at the office of the Council of Architecture, New Delhi.

Online: Net Banking/ Credit Card/ Debit Card.

NOTE: Payment by cheque (outstation or local) will not be accepted.

DOES ONE-TIME PAYMENT MEAN THAT YOU ARE REGISTERED FOR LIFE?

Though you do not have to pay in the future for renewal, the endorsement is made at a time only for ten calendar years. So, when the endorsement is next due, you must send an application form for endorsement for the next ten years along with the original Certificate of Registration to the Registrar of the Council, without making any further payment.

WHAT IS THE MEANING OF ENDORSEMENT?
On payment of the renewal fee, the Registrar shall, in such manner as may be prescribed by rules, endorse the certificate of registration accordingly for a period of ten calendar years. Please note that a laminated certificate will not be accepted and be deemed as destroyed by the Council as no endorsements can be carried out on it.
WHAT IS THE PROCEDURE FOR APPLYING FOR CHANGE OF NAME AFTER MARRIAGE?

In case of change of surname consequent upon marriage, you should fill up the application for renewal with the changed name along with supporting documents such as,

  • The CoA Registration Certificate in original.
  • Application form for change of name
  • An attested copy of the Marriage Certificate, attested by either a Gazetted Officer or Notary Public/Oath Commissioner: Or
  • Alternatively, (in case you do not have a Marriage certificate), an original Affidavit, in the CoA prescribed format, for change of name due to Marriage executed on a non–judicial stamp paper of Rs.10/-; Or
  • An attested copy of a Gazette Notification (in English)
  • A self-addressed envelope of size 12”x ́10″ for return of the endorsed CoA registration certificate by Registered Post.

In case where name is changed due to reasons other than marriage, you should fill up the application for renewal with the changed name along with supporting documents such as,

  • The CoA Registration Certificate in original
  • Application for change in Name
  • A copy of the Gazette Notification (in English) from the  respective State/Central Government, duly attested by either a Gazetted Officer or Notary Public/Oath Commissioner.
  • self-addressed envelope of size 12”x ́10″ for return of the endorsed CoA registration certificate by Registered Post.
IS IT NECESSARY TO NOTIFY ANY CHANGES IN ADDRESS OR SIGNATURE?

Any change in address should be notified to the council along with the necessary attested copy of the proof of the new address. Even a change in signature must be notified to the Council by filling in the application for change in Name.

CAN AN ARCHITECT HAVE AN ADDITIONAL QUALIFICATION ENTERED IN THE REGISTER OF ARCHITECTS? WHAT IS THE PROCEDURE?

An architect who obtains any further recognised architectural qualification is entitled to have the additional architectural qualification(s), entered in the Certificate of Registration on payment of additional qualification fee of Rs.200/- (per qualification). But only recognized architectural qualification(s)  included in the schedule of qualifications appended to the Architects Act, 1972, can be entered on the Certificate of Registration.

You should fill up the application for renewal  and send it along with the following documents:

  • Application form for recognition of Foreign qualification.
  • The CoA Registration Certificate in original.
  • The additional recognized architectural qualification certificates in Original, for verification and return by Registered Post,
  • A copy of the same duly attested by either a Gazetted Officer or Notary Public/Oath Commissioner
  • A self-addressed envelope of size 12”x ́10″ for return of the endorsed CoA registration certificate by Registered Post.
WHAT HAPPENS IF THE RENEWAL FEE IS NOT PAID ON TIME?

In case the renewal fee is not paid before the due date, the Registrar shall remove the name of the defaulter from the register. But the name so removed may be restored to the register on such conditions as may be prescribed by rules. Failing to pay the renewal fee by the last date i.e 31st March, restoration fee of Rs 1000/- shall be payable. In order to avoid fine one should surrender the Certificate of Registration immediately if registration as an Architect is not renewed within the prescribed time. 

If any person whose name has been removed from the register fails without sufficient cause to surrender his certificate of registration, he shall be punishable with fine which may extend to Rs 100/-, and, in the case of a continuing failure, with an additional fine of Rs 10/- for each day after the first during which he has persisted in the failure.

There is no provision for waiving of any fee/penalty/fine prescribed under the Architects Act, 1972.  

HOW IS AN ARCHITECT’S NAME RESTORED TO THE REGISTER OF THE COA?

An application for restoration should be sent to the Registrar, Council of Architecture. The Council may, for reasons appearing to it to be sufficient and subject to the approval of the Central Government, order that the name of the person removed from the Register can be restored upon payment of restoration fees of Rs.1000/- which will be with effect from 1st April of that year.

HOW CAN AN ARCHITECT GET A DUPLICATE CERTIFICATE OF REGISTRATION IN CASE THE ORIGINAL IS LOST?

In case the original CoA Registration Certificate is lost, a form for issuance of duplicate certificate of registration  addressed to the “Registrar, Council of Architecture, India Habitat Centre, Core 6-AFirst floor, Lodhi Road, New Delhi – 110 003” along with a DD for Rs 600/- and the following documents may be personally handed at the office of the Council of Architecture (Payment Timings :10.00 am to 01.00 p.m. & 01.30p.m. to 03.30 p.m. on all working days Monday to Friday) or sent by registered post to the Council of Architecture Office. The documents to be submitted include:

  • An affidavit for applying for duplicate certificate  on Non-Judicial Stamp Paper of Rs. TEN in original must be signed by the concerned architect as deponent at two places. Please ensure that the name and registration number mentioned on the affidavit are correct.
  • The architect must affix the same signatures and names as available in the Council records. If you have changed your signature or name,  fill in the application for change in Name with the old and the latest signatures.
  • Also send a covering letter mentioning how you lost the original certificate and intimate any changes in signature/name/address along with necessary attested copy of the proof of the new address.
  • A demand draft in favour of “COUNCIL OF ARCHITECTURE” for Rs.600/- (Rupees Six hundred only) payable at New Delhi/Delhi towards Duplicate Certificate of Registration fee.
  • A self-addressed envelope of size 12”x ́10″ for return of the duplicate CoA registration certificate by Registered Post.

HOW CAN AN ARCHITECT GET A DUPLICATE CERTIFICATE OF REGISTRATION IN CASE THE ORIGINAL IS DESTROYED?

In case the CoA Registration Certificate is destroyed, you shall be required to return the destroyed certificate to the Council along with the documents mentioned above for applying for a duplicate certificate. Please note that a laminated certificate shall also be deemed as destroyed by the Council as no endorsements can be carried out on it.

Where it is shown to the satisfaction of the Registrar that a certificate of registration has been lost or destroyed, the Registrar may issue a  Duplicate Certificate of Registration , subject to up-to-date payment of renewal fees by the architect.

WHEN IS THE REGISTER PRINTED?

After the first day of April every year, the Registrar prints copies of the Register, as it stands on the said date and such copies shall be made available to persons applying for a copy, on payment of the prescribed fee and shall be evidence that on the said date the persons whose names are entered therein were architects.

    Hi,
    I have done my payment for one time renewal and the form asks for signature of representative, can I send the form without having a representative’s signature as I will be sending it on my own. Also the acknowledgment is for office purpose right?

    HI Sir I am registered as an architect with the council of architecture and the certificate of registration was issued from 9th august 2019 till 31st December 2020. I also done the process of renewal of certificate , I had paid the renewal fee 600/- by online method. but unfortunately ,I could not find my original certificate. so please guide me what should I do next procedure.
    Should I apply for duplicate certificate and in that case can I get my renewal fees back

    My registrstion is valid up to 31 Dec 2020. At that time I have paid one time charges Rs.2000/-
    Is it necessary to pay for renewal fees for getting renewal for next period from 31 Jan 2021.
    My Registration No is CA/86/10322 .I have again two querries
    1) When should I send self addressed evevelope with ny original registration certificate ?
    2)As my original certificate iis 34 year old will you please send me new hard copy of renewed certificate ?

    Respected Sir/Madam,
    I am registered as an Architect with the Council of Architecture(CA/99/25080) and the Certificate of Registration was issued. After paying one time renewal fees in year 2004, my registration was renewed for the period of 10 years i.e. upto 31/12/2014. There after I didnot renewed my registration. Mean time I lost original registration certificate.
    Now I need Duplicate Registration Certificate with renewal. Please guide me how should I proceed for getting Duplicate Registration Certificate alongwith renewal for next period in the light of one time renewal fees already paid.

    Sir ,
    I am registered architect practising in Pune and registered with COA since 1985. I have taken renewals in past and then one time renewal which is valid till 31 December 2019 .
    I am about to start the procedure of renewal now but got little confused reading that I should have applied “before 31 st March of the year to which it relates .”
    Does that mean I should have applied before 31 March 2019 ??
    So plz guide me that , Am I late to apply for the renewal ? Or I can apply now and get the renewal well in advance .

    Certificate of Registration was issued from 24th October 2017, till 31st December 2018. So for renewal process do we have to apply before december 31st 2018 or april 2019?

    Sir, I have registered with Council of Architecture feb 2015-2016 dec. For the second time I made renewal Feb 2016-dec 2017. Then my question is this process going through 2 times for to make one time payment?.
    Secondly ,Can we do one time payment by demand draft of 6000/-?

    Hello,
    I am registered as an Architect with the Council of Architecture and the Certificate of Registration was issued from 24th September 2016, till 31st December 2017. Unfortunately, I could not renew it on time.
    Now, I wish to make a one time renewal, for which:
    a) Is there any Application for Restoration ( this form is apparently not available on your site) that needs to be submitted? I already have the attested copy of my Degree Certificate, and the Original Certificate of registration with me.
    b) What is the total amount that I would need to pay for –
    i ) One time renewal; (this is what I would like to do, please).
    ii) If one time renewal is not possible for any reason, what is the amount payable for yearly renewal?
    (I understand there is a penalty of Rs. 1,000/- in addition to the Renewal Fee of Rs. 600/-).

    I have got life time endorsed certicate which expired in 2015. And now it says endorsement due. Do I have to pay 6000/- agin for renewal of endorsement ? Please help

    Respected Sir/Mam i registered myself as an architect last year that is 2016-17 can i apply for annual renewal? I have completed one year registration I have to renew my license before Dec 2017

    Hi Sir , actually i want to renew my certificate, but i unable to come to the COA office Delhi , so i just want to know is there any online option to renew the certificate . so that can do the online payment, i have registered in 2016 and i have to renew for 2017.     My certificate was valid from September 2nd 2015 to 31st December 2016. This is first time I got my certificate.
    In terms certification validity I have not completed 2 years. But I have completed 2 years since I got the certificate. Now I want to renew my certificate by one time payment. In my case can I go for One time payment or Should I go for a yearly renewal.

    My COA registration has expired and I have to pay restoration fee in order renew my registration. My address of communication has also changed. Please let me know what all documents i need to send for this purpose. Do i have to mention the reason for delay in payment of renewal fee.

    I HAD DONE A ONE TIME PAYMENT SINCE 2005.WHAT HAPPENS IF MY ENDORSEMENT ON THE REGISTRATION CERTIFICATE HAS LAPSE BY 5MONTHS. WILL I NEED TO MAKE LATE FEE PAYMENT?

    In case you assign someone else to go and personally hand over your certificates at the office of the CoA, then you must get the signature of that person in the space allotted for ‘representative’.
